Administration Manager (Operations) – Children’s Residential Services
Salary: Up to £38,000 per annum
Hours: Monday to Friday, 9am – 5pm (Day Shift)
Location: Derby
We are seeking an experienced Administration Manager to oversee the day-to-day management of our Ofsted-regulated residential care services. This role is vital to ensuring the smooth running of our homes, covering staff coordination, financial oversight, facilities management, and compliance with all regulatory standards.
The successful candidate must have strong operations administration experience and a proven background in children’s residential services regulated by Ofsted. This is a hands-on role that requires a balance of operational leadership and administrative efficiency, working closely with the Responsible Individual (RI) and Registered Managers to deliver high-quality care provision.
Key Responsibilities
Staffing, Recruitment & HR Support
- Oversee safer recruitment procedures with the RI, including DBS checks, references, and health clearances.
- Manage the full recruitment cycle – job postings, interviews, onboarding, and induction.
- Maintain accurate staff records, training logs, and performance tracking.
- Support disciplinary processes and investigations where required.
- Coordinate and monitor staff training and development.
Financial & Budget Management
- Support budget planning and reporting across residential care homes.
- Monitor expenditure, ensuring efficient use of resources and cost savings.
- Track recruitment, training, and operational expenses.
Facilities & Property Management
- Manage property maintenance requests and ensure compliance with health and safety.
- Schedule statutory checks (gas, electric) and oversee servicing of vehicles.
- Keep accurate facilities and maintenance records.
Compliance, Record-Keeping & Administration
- Maintain staff and resident records in line with GDPR and Ofsted requirements.
- Support inspections, audits, and quality assurance processes.
- Coordinate admissions/discharges with accurate documentation.
- Manage office administration, supplies, and IT/ security systems.
Stakeholder Engagement & Communication
- Work closely with the RI and Registered Managers to meet safeguarding and quality standards.
- Support company social media and website updates for recruitment and marketing.
Continuous Improvement & Operational Efficiency
- Identify and implement process improvements.
- Support crisis management procedures and ensure smooth responses to emergencies.
- Provide operational guidance to managers and frontline teams.
Key Requirements
- Proven operations management and administration experience within a regulated setting.
- Essential: Previous experience in Ofsted children’s residential care services.
- Strong organisational and administrative skills, with HR and compliance knowledge.
- Experience managing budgets, expenditure tracking, and operational reporting.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and database systems.
- Excellent leadership, communication, and stakeholder management skills.
- Knowledge of safeguarding, GDPR, and regulatory frameworks.
